About the Role
We're looking for a proactive and experienced Senior Administrator to become the backbone of our busy accounting practice. This is a varied, hands-on position supporting our accountants while ensuring the smooth day-to-day running of the office.
You'll be the first point of contact for clients and internal staff, confidently managing a wide range of administrative, compliance, and client service responsibilities. This role also offers the opportunity to provide leadership and guidance to our East Melbourne administration team.
This position offers a hybrid working arrangement (two days from home)
Key Responsibilities
- Professionally manage incoming telephone enquiries and client communications
- Prepare correspondence, reports, and documentation using Microsoft Office
- Provide senior administrative support to the accounting team
- Liaise with the Australian Taxation Office (ATO) and external service providers
- Coordinate client documentation and manage electronic signing processes
- Complete ASIC and corporate compliance tasks, including company registrations, annual reviews, and corporate changes
- Support Anti-Money Laundering (AML) compliance processes and maintain accurate documentation
- Conduct debt collection follow-up calls
- Provide administrative support to the Self-Managed Super Fund (SMSF) team
- General office administration, problem solving, and process improvement
- Assist in leading and supporting the East Melbourne administration team
About You
To be successful in this role, you'll bring:
- A minimum of three years' experience within a public practice accounting firm (five or more years highly regarded)
- Broad experience across all aspects of public practice administration
- Strong problem-solving skills and the confidence to work autonomously while recognising when to seek guidance
- Exceptional organisational skills with the ability to manage competing priorities
- A proactive, solutions-focused mindset
- Excellent communication and client service skills
- Leadership capability with the confidence to mentor and support an administration team
- High attention to detail and a commitment to delivering quality outcomes
