Office Manager

12 month contract with a retail head office in Collingwood.

This is a full-time office based role.

We're looking for a highly organised, proactive Office & Operations Coordinator to support the smooth running of our site and provide day-to-day administrative, scheduling, and logistics support to the team.



What you'll be doing:



Office Management & Front-of-House

  • Provide general office coordination.
  • Maintain order across the office and support teams including R&D, Quality, Packing, Pilot, and incoming parcel handling.
  • Receive, sort, and dispatch parcels and incoming deliveries to the appropriate team members.
  • Manage entry access - respond to the doorbell, greet visitors, and ensure all onsite guests are legitimate, registered, and announced (e.g., contractors, building services, fire/electricians).
  • Liaise with Head Office where required to maintain high presentation and operational standards across site.


Presentation & Microsoft Office Support

  • Provide administrative and formatting support for documents and presentations.
  • Assist with preparing materials in PowerPoint, Excel, and Word.
  • Support creation and processing of Purchase Order documentation.


Meeting & Scheduling Support

  • Coordinate meeting room bookings, rescheduling, and calendar management.
  • Schedule meetings, circulate agendas, and distribute minutes.
  • Manage supplier visit scheduling, confirmations, and follow-up communication.


Logistics & Dispatch Support

  • Support with DHL dispatch and email coordination.
  • Assist the Testing Team with sample dispatch to Japan.
  • Provide delivery tracking updates to internal teams.
  • Follow up raw material Purchase Orders and documentation with suppliers.


Laboratory & Administrative Support

  • Scan, file, and maintain records.
  • Support inventory coordination alongside the team.
  • Ensure maintenance contractors and service providers are supervised onsite where required.


General Administration & Coordination

  • Book travel and accommodation where required.
  • Plan and coordinate visitor schedules and welcome packs.
  • Support coordination and distribution of units and materials as needed.



Criteria:

  • 5+ years Office management experience
  • Experience supporting a team
  • Use of MS Office suite
