Invoicing Specialist

MARS Recruitment is partnering with a well-established national law firm to recruit an Invoicing Specialist to join their growing team.

Established for over 35 years, our client has built a strong reputation within the legal sector and continues to expand its national footprint. With offices across Australia, the firm is committed to delivering an outstanding client experience while investing in the development of its people.

This is a newly created role and an excellent opportunity for an experienced invoicing professional to become the firm's subject matter expert for legal billing and invoicing. Working closely with the Director of Operations, you'll provide training, guidance and support to practice groups across the business while driving consistency and best practice across the firm's invoicing processes.

The Responsibilities:

  • Prepare, issue and process invoices in line with firm procedures.
  • Provide training and ongoing support to secretarial teams on invoicing processes and procedures.
  • Act as the first point of contact for invoicing queries and billing issues across the firm.
  • Investigate and resolve invoice discrepancies and billing queries.
  • Prepare billing schedules, settlement documentation and financial reports.
  • Assist with Trust Account Authorities and trust account administration.
  • Liaise with lawyers, secretarial teams, insurers, Medicare, Centrelink and other external stakeholders.
  • Reconcile insurer payments and monitor outstanding recoveries.
  • Maintain accurate financial records and support compliance activities.
  • Identify opportunities to improve invoicing processes and operational efficiency.

The Requirements:

  • 5+ years' experience in invoicing, legal billing or finance administration.
  • Previous experience within a law firm or professional services environment.
  • Experience supporting, training or mentoring staff on billing and invoicing processes.
  • Strong understanding of legal billing, trust accounting and billing documentation.
  • Excellent problem-solving skills and the ability to resolve invoicing issues independently.
  • High attention to detail with excellent numerical accuracy.
  • Intermediate Microsoft Excel skills.
  • Strong communication and stakeholder management skills.
