Executive Assistant to CEO

Full-time office based role across Melbourne locations Broadmeadows, Derrimut and the CBD.

We are seeking a highly capable, mature and discreet Executive Assistant to the CEO to provide high-level executive and administrative support across a growing group of engineering, manufacturing and infrastructure businesses.

This is a five-day, office-based role, working across the group's Melbourne locations, with the primary office environment spanning Broadmeadows, Derrimut and the CBD.

About the Role:

This is a traditional, high-level EA position suited to someone who understands that excellent executive support is often about anticipating what is needed before being asked.

You will work closely with the CEO, managing a broad range of executive, administrative, governance and project-related responsibilities while maintaining a high level of confidentiality and discretion.

A key component of the role will be supporting corporate governance and Board preparation, including the coordination and preparation of substantial Board materials.

The successful candidate will be comfortable operating in a fast-moving environment with multiple projects and priorities underway across the group.

Key Responsibilities:

  • Provide high-level, proactive EA support to the CEO.
  • Manage the CEO's complex diary, meetings, priorities and competing demands.
  • Prepare agendas, papers, presentations, reports and correspondence.
  • Coordinate and prepare materials for Board and executive meetings.
  • Support corporate governance processes and ensure Board documentation is accurate, complete and professionally presented.
  • Review, edit and quality-check detailed documentation and reports.
  • Coordinate meetings and follow up actions to ensure commitments are delivered.
  • Assist with project coordination across the CEO's portfolio of businesses and initiatives.
  • Liaise confidently with internal and external stakeholders at senior levels.
  • Maintain highly confidential information and exercise sound judgement at all times.
  • Anticipate the CEO's requirements and proactively stay ahead of deadlines and priorities.
  • Bring structure and organisation to a busy and rapidly growing environment.
  • Support broader executive requirements as the business continues to expand.

About You:

You will be an experienced EA who is switched on, highly organised and exceptionally detail-oriented. You will understand the importance of being one step ahead and will take pride in getting things right the first time.

The CEO is looking for someone who is:

  • Extremely strong on attention to detail.
  • Discreet and highly trustworthy.
  • Calm and composed in a fast-paced environment.
  • Comfortable working autonomously and taking ownership.
  • Naturally organised with excellent follow-through.
  • Confident working with senior executives and Board-level stakeholders.
  • Experienced in preparing complex documents and Board papers.
  • Commercially minded and able to understand the bigger picture.
  • Able to use initiative and anticipate what the CEO will need.
  • Comfortable working five days a week in the office.
