About the opportunity
An exciting opportunity is available for an experienced Executive Assistant - Part Time to join a professional services firm with a national reach.
This is a part-time role supporting a senior partner based in Burleigh Heads who works across a national client base and regularly travels between offices. You'll play an important role in keeping a busy executive organised, while also contributing to the wider administration function across the business.
The ideal candidate will be highly organised, proactive and comfortable working with confidential information in a fast-paced, professional environment.
About the role
Working closely with a senior partner, your responsibilities will include:
- Managing a busy and complex diary, including meetings, appointments and Teams/Zoom calls
- Coordinating domestic travel, including flights, accommodation, transfers and car hire
- Anticipating upcoming requirements and ensuring the executive is well prepared for meetings and travel
- Managing emails and correspondence, including prioritising and following up where required
- Preparing confidential documents, correspondence and meeting materials
- Processing timesheets, expenses and other administrative requirements with a high level of accuracy
- Coordinating catering, events, functions and meetings
- Providing general administrative support to the local Gold Coast based team (2 ppl)
- Working collaboratively with the broader national administration team and assisting with shared administrative tasks as required
- Supporting a range of time-sensitive and highly regulated professional services activities
About you
We're looking for an experienced EA who enjoys being the person who keeps everything moving.
You will ideally have:
- Previous experience as an Executive Assistant, ideally within professional services, financial services, legal, accounting, property or another corporate environment
- Strong diary and travel management experience
- Excellent Microsoft Office skills
- Confidence using Microsoft Teams, Zoom and other digital workplace tools
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
- The ability to handle confidential and commercially sensitive information with discretion
- Excellent organisational skills and the ability to prioritise competing deadlines
- A proactive approach - you naturally think ahead rather than simply wait for instructions
- The confidence to work autonomously and use sound judgement
- A professional, personable and down-to-earth communication style
Experience in insolvency, restructuring, accounting, audit, tax, legal or other professional services would be advantageous, but is not essential.
Working arrangements
This is a part-time position of approximately 27.5-30 hours per week. The business is open to flexible arrangements and open to how the part-time working week is set.
The position will initially involve a higher level of face-to-face interaction to build relationships and understand the business and responsibilities.
