We are seeking an accomplished Estate Manager to oversee the seamless operation of a private family's primary residence in Toorak, together with two holiday homes in Portsea and Stratford.
This is a rare opportunity to join a highly professional private household in a position of trust, autonomy and responsibility. Reporting directly to the family, you will become a key member of their inner operations, ensuring every property, project and service is delivered to an impeccable standard.
Combining strategic oversight with a hands-on approach, you will lead a small team, coordinate trusted trades and service providers, manage a diverse range of property and household projects, and continually refine systems to ensure the estates operate effortlessly.
This is a permanent full-time position, based between the family's private office in Cremorne and their primary residence in Toorak, with monthly travel to Portsea and Stratford.
The Opportunity
As Estate Manager, you will assume full operational responsibility for the family's residences and associated assets, creating beautifully maintained homes that are always prepared, welcoming and impeccably presented.
Key responsibilities include:
- Overseeing the day-to-day operations of the family's primary residence and two holiday homes.
- Maintaining exceptional presentation through proactive cleaning, gardening, preventative maintenance and regular property inspections.
- Developing and implementing detailed operational procedures, maintenance schedules and opening and closing protocols for each residence.
- Anticipating maintenance requirements and coordinating repairs before issues arise.
- Leading and supporting a team comprising a Housekeeper, Gardener and Estate Assistant, together with external contractors and specialist service providers.
- Establishing clear performance expectations while fostering a culture of professionalism, accountability and excellence.
- Managing a diverse portfolio of projects, from property renovations and capital improvements through to long-term landscaping and infrastructure initiatives.
- Sourcing, coordinating and negotiating with trusted trades and suppliers to deliver outstanding workmanship and value.
- Managing household administration, including insurance, documentation, service contracts and estate records.
About You
You are a highly organised and commercially astute professional who combines exceptional attention to detail with strong leadership and sound judgement. Comfortable operating within a private household, you understand the importance of discretion, initiative and anticipating needs before they arise.
You will bring:
- Demonstrated experience managing private estates, luxury residences, family offices or other high-end property environments.
- Strong experience overseeing property maintenance, renovations and capital improvement projects.
- Proven leadership experience managing household staff, contractors and external service providers.
- Exceptional organisational skills with a structured, systems-driven approach.
- Strong commercial acumen and confidence negotiating with suppliers to achieve quality outcomes and value.
- Excellent project management skills, with the ability to manage multiple priorities simultaneously.
- Experience leading performance conversations and maintaining high standards across a team.
- A practical understanding of property maintenance, trades and contractor management.
