Client Services Officer

Make a meaningful difference behind the scenes of Victoria’s forensic and medical services.

Are you an organised, service-focused administrator who thrives in an environment where every detail matters?

This is an opportunity to join a specialist Forensic Services Support team, providing critical day-to-day support across Medical Services and Scientific Services.

As a Client Services Officer, you'll be at the heart of a busy, highly collaborative environment, working with medical and forensic practitioners as well as key external stakeholders including Victoria Police, the Coroners Court of Victoria and the Office of Public Prosecutions.

What you'll be doing

No two days will be quite the same. You'll provide a broad range of administrative and client service support, including:

  • Managing files, records, archiving and case documentation within Forensic Sciences.
  • Supporting case management through accurate data entry, quality assurance and file administration.
  • Providing relief reception support and assisting with incoming telephone enquiries.
  • Liaising with courts and supporting subpoena management, court documentation and attendance requirements.
  • Coordinating meetings, forums and clinic bookings.
  • Providing administrative support across imaging, nursing and other forensic services.
  • Maintaining accurate divisional performance data and assisting with reporting, statistics and service metrics.
  • Supporting timely service delivery to key stakeholders across the justice and forensic sectors.
  • Assisting with clinical workforce administration, including timesheets, expense claims and roster updates.
  • Contributing to a responsive, integrated client service culture across the organisation.
  • Taking on other operational and administrative priorities as required.

Why this role?

This is more than a traditional administration position. You'll gain exposure to a fascinating intersection of forensic medicine, healthcare and the justice system, while working alongside experienced professionals whose work has a genuine impact on the Victorian community.

You'll play an important role in keeping critical services running smoothly - ensuring information is accurate, practitioners are supported, stakeholders receive timely responses and cases continue to progress.

About you

You'll be a confident and adaptable administrator who brings:

  • Strong organisational and time-management skills.
  • Exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • A genuine commitment to delivering outstanding internal and external client service.
  • The ability to manage competing priorities and remain calm in a busy environment.
  • Confidence working with sensitive information and maintaining confidentiality.
  • Strong data entry, record management and administrative capabilities.
  • The ability to work collaboratively with a diverse range of medical, forensic, corporate and external stakeholders.
  • A proactive approach and willingness to step into different responsibilities as priorities change.

If you're looking for a role where your administrative expertise supports work that genuinely matters, this is an opportunity to become part of a specialised forensic services environment and make an impact every day.

At Mars, we are passionate about providing equal employment opportunities and embracing diversity to the benefit of all.
