Team Assistant

We are seeking an experienced Team Assistant to join a global financial services organisation.

Our client, a leading global financial services organisation, is seeking an experienced Team Assistant to support its high-performing APAC Legal team based in Melbourne CBD.

This is a varied and fast-paced role where you will provide high-quality administrative, coordination and workflow support to senior lawyers and leaders, including Executive Director level stakeholders.

What You'll Be Doing

  • Provide high-level administrative support to senior stakeholders, including Executive Directors, and their wider team.
  • Manage complex diaries, meetings and competing priorities, proactively resolving scheduling conflicts and follow-up actions.
  • Coordinate domestic travel arrangements, AMEX reconciliations and expense management.
  • Support invoice processing and general financial administration.
  • Prepare, format and coordinate legal and non-legal documents, presentations and reports.
  • Maintain accurate document control and filing within document management and records systems.
  • Coordinate team meetings, events and hospitality requirements.
  • Liaise confidently with external stakeholders, including law firms, clients and third-party providers.
  • Provide ad hoc project support to the legal team, including workflow coordination across property and leasing matters.
  • Champion workplace technology initiatives and support process improvement activities.

About You

  • Demonstrated experience as a Team Assistant, Legal Assistant or similar role within a corporate or professional services environment.
  • Previous experience supporting legal teams (in-house) and managing confidential information with discretion and professionalism.
  • Strong Microsoft Office skills across Word, Excel and PowerPoint.
  • Experience using document management systems; exposure to board portals will be highly regarded.
  • Exceptional organisational skills with the ability to manage multiple stakeholders, priorities and deadlines.
  • Proactive, resourceful and solutions-focused approach.
  • Excellent written and verbal communication skills with a polished and professional manner.
  • Strong attention to detail and commitment to delivering high-quality work.
