The Outreach Program Support Officer is part of the Clinical Support Team providing front line customer service for clients


The Outreach Program Support Officer (OPSO) is responsible for managing the region’s Outreach Program which may include duties relating to the recruitment and on boarding of Outreach Providers, processing of client referrals and outreach workflow management. A high level of collaboration will be involved with the Outreach Coordinator, clinical support team and the regional management team.

The Outreach Program Support Officer is part of the Clinical Support Team providing the front line of customer service for clients who may be facing significant or complex challenges. The OPSO may be allocated additional core functions to assist the region in meeting high volume of clinical support work. This may include office management, outreach billing, secretarial duties or other corporate support activities.

The Outreach Program Support Officer will work within a quality improvement framework and will review and implement processes to maintain efficiencies and improve service delivery outcomes. They will collaborate with others and connect with other regional offices, government and community services to deliver a quality, holistic service.

DUTIES

  • Outreach Provider Management
  • Assist the Outreach Coordinator in the recruitment, on boarding and induction of Outreach Counsellor Providers
  • Provide CMS training to Outreach Counsellors in your region
  • Maintenance of Outreach Counsellor databases including the CMS

Outreach Program Coordination

    • Facilitate the initial entry point for Outreach Counsellor communications, contact and requests
    • Conduct service file audit checks prior to progressing requests to clinical team (rostered outreach counsellors)
    • Manage the Outreach Program workflows, tasks and messages to ensure a timely response
    • Escalate clinical matters including all risk issues directly to the Outreach Coordinator and/or Assistant Director Clinical Coordination
    • Apply quality assurance procedures to ensure all aspects of clinical reporting and financial requirements meet contractual obligations

Clinical Support

    • Audit and compliance including training of the clinical support team members
    • Assist in the delivery of a professional, warm and friendly reception service by providing front counter management and support with incoming calls
    • Outreach billing and invoicing including oversight of the ‘Outreach Error Report’
    • Other duties as determined by the Regional Clinical Practice Manager

Requirements

  • Ability to developing and implementing systems and processes to better manage workflows
  • Ability to manage competing priorities and effectively deliver timely, accurate and high quality of work
  • Ability and experience to implementing an auditing program
  • Proven experience and high skill level in building relationships with internal and external stakeholders in a complex and changing environment
